Privacy Policy

Voice Recordings

When you record audio or import a file, it is uploaded to our secure transcription server solely for the purpose of converting speech to text. Audio files are never stored permanently on our servers.

Account Information

If you sign in with Apple we receive only the minimal data Apple shares: a unique identifier and, optionally, your name and email address. We do not store passwords.

Transcription Data

The text output of a transcription is stored locally on your device and in your browser’s local storage. It does not leave your device without your explicit action (e.g. using the Export feature).

Subscription & Payment Information — Mobile (iOS)

In-app purchases on iOS are handled by Apple and RevenueCat. RevenueCat collects subscription status, purchase history, and device identifiers. We do not store any payment or card information on our servers.

Subscription & Payment Information — Web

Web subscriptions are processed by Stripe. Stripe collects and processes your payment details securely. We receive only a subscription status confirmation — we never see or store your card number, CVC, or billing details.

What We Do Not Collect

• Biometric or facial data
• Location data
• Contacts or calendar data
• Photos, beyond files you explicitly import for transcription
• Browsing history or cross-app tracking data

Data collected for transcription is never repurposed without your explicit consent. Voice recordings are used solely and exclusively for automatic speech-to-text transcription powered by a commercially-licensed open-source AI model running on our dedicated infrastructure. Your audio and transcriptions are never used for:

• User identification or profiling
• Surveillance or monitoring
• AI model training or improvement
• Marketing, advertising, or analytics
• Any purpose other than the transcription requested by you

Audio files are automatically and permanently deleted from our server immediately upon completion of the transcription process. The full lifecycle is:

1. Your device uploads the audio over HTTPS (TLS 1.2+)
2. Transcription runs on our server (typically 30–120 seconds)
3. The audio file is permanently deleted from our server immediately after processing
4. The transcript text is returned to your device only

Maximum server retention: Only the duration of transcription processing.

Your voice recordings are never shared with any third party. Transcription and summarization run exclusively on our own dedicated GPU infrastructure.

Translation — NVIDIA Riva NMT

When you explicitly request a translation, the transcribed text (not the audio) is sent to the NVIDIA Riva Neural Machine Translation cloud API (grpc.nvcf.nvidia.com) solely to perform the translation. No audio, name, email, or device identifier is included. The translated text is returned to your device and then deleted from the API. NVIDIA’s data processing is governed by NVIDIA’s Privacy Policy. Translation is an opt-in feature — it is only triggered when you tap the Translate button.

Other Third-Party Services

For essential services (Sign in with Apple, RevenueCat, Stripe) we ensure that any third party with whom we share necessary data (such as subscription status or identifiers) will provide the same or equal protection of user dataas stated in this Privacy Policy and as required by Apple’s App Store Guidelines. These parties do not receive your voice recordings or transcriptions.

• In-Transit: HTTPS with TLS 1.2+ encryption for all data in transit.
• Infrastructure: Dedicated server infrastructure.
• Deletion: Automatic, immediate deletion of audio after transcription.
• Storage: Local-first storage ensures transcripts remain securely on your device.
• Authentication: Passwordless authentication via Sign in with Apple.

You maintain full control over your data and permissions. You may at any time:

• Revoke Consent: Withdraw consent for data collection by revoking Microphone permissions in your iOS Device Settings or Browser Settings. You can also revoke Sign in with Apple access from Settings → Apple ID → Password & Security → Apps Using Apple ID.
• Delete Recordings: Delete individual recordings and transcripts from within the app or web dashboard, or use “Delete All Recordings” in Settings to remove all local data.
• Delete Account (In-App): If you have created an account, you can permanently delete your account and all associated data directly from within the Aero VoiceNotes app settings menu.
• Request Deletion: Alternatively, request full account deletion by emailing info@aerovoicenotes.com — we will process your request within 30 days.

Aero VoiceNotes is not intended for use by children under the age of 13. We do not knowingly collect personal data from children. We do not use third-party analytics or third-party advertising that targets children. If you believe a child has provided us with personal information, please contact us so we can delete it immediately.

We may update this policy from time to time. The “Last Updated” date at the top of this page will reflect any changes. Continued use of the service after an update constitutes acceptance of the revised policy.
